PASS Portal
PASS Portal is our own bespoke portal, designed to make the whole process of transferring data, communicating and managing the preparation of your Service Charge Accounts with us as smooth, efficient and clear as possible. It is included within our service, and our existing Managing Agents successfully use it as a tool to manage and ensure that deadlines are met, and save time.
Property Overview and Status
The PASS Portal provides a clear overview of property status and deadlines. This gives a clear picture of what is due when, and where the priorities lie. Whilst we turn around property accounts quickly anyway, we can be specific on dates if required, and can react to urgent requests.
Workflow Management
The PASS Portal documents each stage of the work and marks it when complete. Its flexibility has allowed some Agents to set up additional tasks unique and internal to them with their Property Managers to enhance their own process. The PASS Portal too has been used to good effect to assist the control of the handover of financial information between Agents when properties are transferred, a process which we are happy to actively support and participate in.
Easy and instant transfer of data
Files are simply uploaded into and downloaded from the PASS Portal, even as zipped files, making data transfer simple and fast. We review financial packs received within 2 working days and notify you of any missing information to prevent delays later on. Every upload prompts an email notification to the receiver so that they know a new file or message has been sent.
Secure Access and Flexible Configuration
The PASS Portal is cloud based with secure, password protected access. User access on a property by property basis can be defined by you. You may want each individual to see all properties, or limit them only to a selection of their properties, the choice is yours. The PASS Portal also configures to reflect your specific reporting and systems so you are not bound by a standard set of requirements.
Collation of information and messages in one place
Save time by storing emails, file notes and any other information as well as the financial records and files in one place and over many years. No more hunting for emails from previous years, or losing important file notes, and it makes it easy for different members of staff to pick up a particular property.
Reports and KPI's
The PASS Portal allows the download of any data into Excel for reporting which makes tracking of KPI’s very easy. We can also build bespoke reports. We regularly track timing, numbers of drafts (for accuracy) and standing data such as deficits for recharge.
